Who we are
County Antrim Indoor Bowling Club is the data controller for the information described here. We run Jim Baker Stadium at 20b Ballysavage Road, Parkgate, County Antrim, BT39 0DX.
If you have a question about your data, or want to make any of the requests below, email contact@jimbakerstadium.com or ring the office on 028 94 432 937.
What we collect, and why
We only ask for things we need. What we hold depends on what you have done with us.
If you apply for membership — your name, date of birth, gender, address, phone numbers, email address, an emergency contact, and the name of your proposer. Date of birth sets which membership rate applies; gender is recorded because the club pays affiliation fees to the mens and womens associations on a per-member basis. We also record the date you accepted the club rules and this notice, and the version you were shown.
If you contact us — your name, email address, phone number if you give one, and the message itself.
If you sign up for the newsletter — your email address and, if you choose to give it, your name. Nothing is added to the list until you click the link we email you.
If you book a rink or an event place — your name, email address, what you booked, and the payment reference. Card details are entered on Stripe's own form and never reach the club.
If you are a member — in addition to the above, your membership history, league and competition entries, results, and the email preferences you have set.
Our legal basis for holding it
- Contract — membership, bookings and entries. We cannot give you a membership or a rink without the details that go with it.
- Consent — the newsletter, and the optional club emails a member can switch on and off. You can withdraw consent at any time and it takes effect immediately.
- Legitimate interests — running the club: answering an enquiry, keeping results and records, and keeping the building and its systems secure.
- Legal obligation — keeping financial records for as long as the law requires.
Email we send you
Some email is part of being a member and cannot be switched off: payment receipts, renewal notices, and anything we must tell you about your membership.
Everything else is optional — club news, fixture reminders, event announcements, and the public newsletter. Every one of those carries an unsubscribe link that works immediately and without signing in. Members can also set each type separately.
Cookies and analytics
This website sets no advertising or tracking cookies. The only cookie it sets is the one that keeps you signed in if you use the member portal, and that is strictly necessary — without it you could not stay signed in.
We use Vercel Web Analytics to count page views and see which pages are read. It does not use cookies, does not store anything on your device, and does not build a profile of you or follow you to other websites. That is why this site has no cookie banner: there is nothing to ask you to consent to.
How long we keep it
- Membership records — for as long as you are a member, and for six years afterwards so the club can answer questions about subscriptions and affiliation.
- Financial records — six years, as tax law requires.
- Contact enquiries — up to two years, then deleted.
- Newsletter subscriptions — until you unsubscribe. We keep a record that the address unsubscribed so we do not add it back by mistake.
- Results, league tables and competition records — kept indefinitely as part of the club's history. These are names and scores, nothing more.
Your rights
Under UK data protection law you can ask us to give you a copy of what we hold about you, correct anything that is wrong, delete it, restrict what we do with it, or object to us holding it. You can also ask for it in a portable format, and withdraw any consent you have given.
Email contact@jimbakerstadium.com and we will reply within one month. There is nothing to pay.
If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would rather you came to us first so we can put it right.
Junior members
Under-18s can be members, and their applications are made and managed by a parent or guardian, whose contact details we hold alongside the child's. We do not send marketing email to a junior member's own address. If you are a parent and want to see or remove what we hold about your child, ask us and we will deal with it.
Changes to this notice
If we change how we use your data we will update this page and change the date at the top. Where a change matters to you we will tell members by email rather than rely on you noticing. See also our terms and conditions.
